Theatre Administrator

Our Theatre Administrator is the glue that holds us all together, supporting the daily front-of-the-house operations of the theatre. You’ll be the first impression for patrons and families at Stageworks, providing a warm and responsive face to our box office and Academy.
This role reports to the President of the Theatre but also other Theatre officers as designated by the President.
Responsibilities

Works front desk hours, as assigned.

Answers phones and incoming messages with an incredibly helpful and optimistic attitude

Manages printing of all materials such as playbills, flyers, classroom items.

Collects and distributes mail accordingly.

Playbill creation

Shipping
-
Coordinate with the Chair of the Lobby Experience to ensure that Ushers, Concession & Box office Volunteers, and House Manager positions are staffed for all shows.

Assists the Managing Artistic Director and Executive Committee as needed.
Other administrative duties as assigned.

Box Office/Registrar

Checks in patrons at shows.

Assists patrons who are seeking to purchase tickets or enroll in academy programming.

Administers all show ticketing and registration via our associated software tools (PatronManager and UltraCamp).

Captures donor information.

Creates and cultivates group sales, inviting them to our shows. (3 new per quarter) This may include churches, schools, nursing homes, businesses, and other organizations.
Facilities

Ensures that the theatre is clean, operational, and presentable to our volunteers, staff and patrons at all times.

Manages the efforts and quality of the cleaning crew. Informs them on any quality issues or schedule updates.

Sets and enforces room use standards (i.e., cleanliness of rehearsal and performance spaces).

Reports any needed repairs.

Coordinates outside contacts for repair as directed (landlord, contractor, or repair person).

Ensures daily trash removal from the facility.

Manages room rentals.

Manage calendars associated with rehearsals, shows, staff schedules, room schedules, and teaching schedules. Manages any conflicts.
Supplies

Manages concession, including tracking, ordering, picks up, and stock. (Please note that concession ordering and stocking does include alcoholic beverages.)

Monitor supplies using assigned budget

Janitorial (soap, paper towels, toilet paper light bulbs)

Paper, ink, etc.
Required Skills & Experience

A self-starter that doesn’t need to wait for direction.

Not afraid to ask questions.

A bright, patient, and inviting demeanor.

A knack for learning new software and exploiting its use.

A natural enthusiasm for the great things that come from a vibrant theatre, allowing you to easily sell tickets and classes.

Track record of handling ambiguous and changing circumstances.

Ability to work evenings and weekends, as needed.

Computer proficiency in word processing, databases, spreadsheets, email and internet. The candidate need not have experience with our exact tools, but experience with various customer relationship management software systems and reporting associated with each.

Handy with a hammer and screwdriver, and willingness to climb a ladder, as this person may handle basic handy work around the theatre. (Hang pictures, change lightbulbs, change air filters, set up rooms, etc.)

Ability to lift 50lbs, as this person will handle incoming shipping.
This position is be full-time. Hours will generally be Tuesday through Saturday from 9:00 am to 6:00 pm, with adjustments during the Summer and for our Season Shows. Flexibility is essential as the Theatre operates weekend and evenings.
The position pays $36K-$39K full time with two complementary tickets to each of our announced season shows. (This is not an ideal position for a practicing actor, as the hours will conflict with shows and rehearsals normally.)
